Operations Audit

When operations are not working as they should, the effects are often felt across the business. Follow-up may be delayed. Work may be repeated. Information may be difficult to locate or may not move correctly between systems. Responsibilities may be unclear, reporting may be incomplete, and processes that once worked may no longer support the way the business operates today. In many cases, the business can see the symptoms without being able to identify the underlying cause. The issue may involve software limitations, system configuration, integrations, data flow, workflow design, internal processes, platform use, staff activity, or several connected conditions. One Step Center’s Operations Audit provides a structured and objective evaluation of the systems, workflows, records, tools, and operational processes included in the purchased scope. The audit identifies observed inefficiencies, evaluates the conditions that appear to be contributing to them, and documents which areas may require attention. The business receives a written assessment of the reviewed environment and recommendations to consider when determining its next steps.

Audit Findings and Recommendations

Observed Conditions

The Operations Audit may identify:

Software or platform limitations

Incomplete or ineffective system configuration

Disconnected systems or integrations

Missing, duplicated, delayed, or repeatedly entered data

Workflows that do not reflect the actual business process

Unnecessary manual work

Forms, routing, assignments, or notifications that are not functioning as intended

Reporting limitations

Unclear ownership or responsibilities

Inconsistent system use

Staff errors or process deviations

Missing or outdated documentation

Operational dependencies

Multiple related conditions

The audit does not begin with the assumption that leadership or employees caused the problem. Findings may relate to people, processes, systems, software, data, configuration, third-party limitations, or a combination of factors. Findings are limited to conditions that can be reasonably evaluated from the access, records, documentation, information, and operational environment available during the audit.

Recommended Direction

The Operations Audit Report may document:

The areas reviewed

The conditions observed

The inefficiencies identified

The factors that appear to be contributing to them

The severity or operational significance of each finding

The recommended order of attention

The type of corrective action that may be appropriate

Recommendations may involve:

Workflow changes

System configuration

Automation

Integrations

Data flow

Forms and routing

Reporting

Roles and responsibilities

Documentation

Internal processes

Platform use

Additional evaluation

Recommendations identify areas for consideration. They do not direct or manage the business’s implementation process. When an identified issue appears to fall within an available One Step Center service, the report may state that One Step Center may be able to complete the corrective work through a separately purchased service or add-on.

Operations Audit Deliverables

The exact deliverables are determined by the purchased scope.

01

Operations Audit Report

A written PDF report documenting the findings, risks, priorities, and recommendations identified during the audit. The length, detail, format, and sections of the report depend on the service tier, review areas, and add-ons purchased.

14-Day Clarification Period

The business has 14 calendar days to request clarification regarding findings, priorities, and recommendations already included in the delivered Operations Audit Report. The clarification period may also include correction of clerical errors or confirmed factual errors based on information provided before delivery. It does not include new analysis, expanded review, implementation, troubleshooting, revised recommendations, or additional deliverables.

Service Scope

The Operations Audit is an evaluation-and-recommendation service. It documents observed conditions, findings, priorities, and recommendations within the purchased scope. Implementation, configuration, repair, development, training, and ongoing management are not included and require a separate purchase. Recommendations are based on the systems, records, documentation, access, information, and operational conditions available during the audit. One Step Center does not control how recommendations are implemented, followed, supervised, or maintained after delivery. No specific operational, financial, technology, customer, employee, revenue, efficiency, or business result is guaranteed.

Confidentiality and Access

The audit may involve access to internal systems, records, communications, employee information, customer information, process documentation, and other nonpublic operational information. One Step Center uses authorized access and information only as reasonably necessary to complete the purchased audit. The business is responsible for providing lawful access and confirming that it is authorized to share the systems, records, communications, and information submitted for review. Read-only access may be used when it provides sufficient visibility. Broader access may be required when read-only permissions do not allow One Step Center to evaluate an area included in the purchased scope. When supported by the platform, the business should create a separate authorized user account rather than provide a personal login. Credentials must be provided through a secure method approved by One Step Center.

Client Responsibilities

The business must provide complete and accurate information regarding:

  • The systems and processes included in the audit
  • Known operational concerns
  • Previous system or workflow changes
  • Current limitations
  • Existing documentation
  • Available records
  • Relevant third-party dependencies
  • The intended purpose of the processes being reviewed

The business must also provide the required system access, credentials, permissions, subscriptions, records, documentation, files, information, and approvals. Incomplete information, restricted access, expired credentials, unavailable records, or delayed responses may delay or limit the audit. The business should coordinate with One Step Center before making material changes to systems, workflows, integrations, configurations, or processes included in an active audit.

Estimated Completion

The estimated timeline depends on the number and complexity of the systems, platforms, departments, locations, workflows, processes, integrations, records, and review areas included in the audit. A project-specific estimated timeframe is provided based on the purchased scope. The estimated delivery period begins after One Step Center receives the required project information, documentation, records, authorized access, permissions, subscriptions, and approvals. All completion timeframes are estimates. Access restrictions, incomplete information, data quality, platform limitations, third-party dependencies, client or vendor changes, additional analysis, and approved scope changes may extend the estimated timeline.
